COMPLETE LIST OF DUTIES

Classes

  • Change over barre room:
    •  (mats, weights, bars)
  • Change over cycle room (shoes, cloths, bikes)
  • Aromatherapy towels

 

Client Management:

  • Take care of clients when Front Desk staff are too busy:
    • Be near the desk during busy class changes to support the Front Desk staff and clients
  • Assist with lockers:
    • Get locker key from the Front Desk Staff at the beginning of shift to assist clients who need to get into their lockers

 

Cleaning:

  • Clean - Changeroom Toilets:
    • Deep clean toilets with vim and toilet brush and keep toilet paper stocked (men's washroom should always have the seat UP, women's DOWN)
  • Clean - Vacuum whole studio
  • Clean - Wash and Dry:
    • Wash and dry cycle towels, coloured cloths, mirror cloths, etc. and store in the baskets in the laundry room
  • Clean - Washer and dryer (lint traps):
    • Check and empty the dryer lint traps from both dryers

 

Tidying:

  • Tidy - Surfaces, handles, water fountain:
    • Cyclically wipe down door handles, light switches, and commonly touched surfaces throughout the studio with Benefact and paper towel
    • Spray and wipe down all parts of the water fountain with Benefect and paper towel
  • Tidy - Change room:
    • Cyclically wipe sinks, countertops, taps, toilets and stall handles throughout shift with Benefect and paper towel
    • Wipe mirrors with vinegar solution and blue mirror cloth
    • Rinse the showers and wipe excess dirt & hair with Benefect and paper towel
    • Collect used bath mats and add them to your next load of laundry
    • Ensure fresh bathmat is always rolled up and placed in front of each shower.
  • Tidy - Lounge #1:
    • Place client's shoes on shoe racks & tidy Lounge 1 area (gloves are available if you need to pick up/move any shoes)
  • Tidy Retail:
    • Tidy retail: finger space racks, wipe surfaces and straighten out merchandise
  • Tidy - Bike shoes storage
  • Tidy - Lost and found - put all leftover items there
  • Tidy - Towels and cloths (folding and storing)

 

Equipment:

  • Alarm System - arm & disarm
  • Automatic Doors - beeping noise
  • Ensure lockers are functioning properly
  • Ensure dehumidifier is functioning properly:
    • Check to see if the dehumidifier by the cycle shoe racks is full (it will say P2 on top and won't be on). If it is full, pull out and empty the tray in the sink and then put it back. 

 

Internal Comms:

  • Trade Staff Comms Log - Read, action and update:
    • Check the blue communications notebook in the second drawer to see if there are any notes/updates from the previous trade staff member and add notes when necessary.
  • Come up with and provide feedback and ideas to Mgmt
  • Identify and communicate maintenance needs

 

Supplies:

  • Refill cleaning supplies bottles
  • Tracking studio supplies

 

Human Resources:

  • Getting your shift covered

 

Marketing:

  • Promote studio events, campaigns, etc
  • Record feedback from clients about the studio

DETAILED SHIFT STEPS (Checklist Master Copy)

1) OPENING

OPENING - First Tasks:

  1. Unlock the front door and place the key in the lock box
    • Disarm alarm system - How to:
      • Enter passcode first
      • Press “Home”
  2. Turn ON automatic power door operator on front door only
  3. Turn on lights & check studio - Do a walkthrough to ensure:
    • All lights are on (including Christmas tree)
    • Everything is where it belongs

 

OPENING - General Tasks:

  1. COMMUNICATIONS - Trade Staff Comms Log:
    • Check the blue communications notebook in the second drawer to see if there are any notes/updates from the previous trade staff member, and add notes when necessary.
  2. FRONT DESK & TEACHER SUPPORT - Check-in:
    • Check-in with Front Desk staff to discuss the shift and anything that might come up
  3. BARRE ROOM - As soon as you start your shift, set up the barre room with mats
  4. CYCLE ROOM - As soon as you start, check the cycle room shoe bin to make sure it is emptied before the first class starts
  5. LOCKER KEY - Get locker key from the Front Desk Staff
    • Get key at the beginning of shift to assist clients who need to get into their lockers
  6. GARBAGE - Bring in garbage cans and put in correct spots:
    • If garbage cans have been emptied, take them to the back door and place them in the correct spot according to the photo
  7. SHOVEL - if required, shovel the snow off the front entrance to make sure the walkway is clear

2) DURING

  1. FRONT DESK & TEACHER SUPPORT: - Be near the desk at busy times
    • E.g. during class changes to support the Front Desk staff and clients

 

BETWEEN CLASSES:

  1. BARRE - Flip the mats over:
    • ONLY clean a mat if it is visibly dirty (e.g. sweat marks or wet)
    • If time permits, flip the mats over in between classes and leave them in the allocated spots
  2. BARRE - Stack all used weights
  3. CYCLE - Clean cycle shoes:
    • Grab cycle shoes from inside the room, spray the inside of each shoe with Benefect & put them back on the cycle shoe rack. Make sure the rack looks tidy
  4. CYCLE - Remove dirty towels:
    • Empty the baskets of towels from inside the room and put them in the laundry (replace the basket for the next class)
  5. CYCLE - Fully stock towels and spray bottles:
    • Fully stock towel baskets and the four spray bottles in the cycle room

 

TIDYING:

  1. TIDYING - Surfaces, handles, water fountain:
    • Cyclically wipe down door handles, light switches, and commonly touched surfaces throughout the studio with Benefact and paper towel. Spray and wipe down all parts of the water fountain with Benefect and paper towel
  2. TIDYING - Change room surfaces:
    • Cyclically wipe sinks, countertops and taps, throughout shift with Benefect and paper towel. Wipe mirrors with vinegar solution and blue mirror cloth
  3. TIDYING - Change room showers:
    • Rinse the showers and wipe excess dirt & hair with Benefect and paper towel
  4. TIDYING - Change room bath mats:
    • Collect used bath mats and add them to your next load of laundry. Ensure a fresh bathmat is always rolled up and placed in front of each shower.
  5. TIDYING - Boot rack How To:
    • Place client's shoes on shoe racks & tidy Lounge 1 area (gloves are available if you need to pick up/move any shoes)
    • Place client's shoes on shoe racks
    • Tidy Lounge 1 area (gloves are available if you need to pick up/move any shoes)
    • In winter - check the clips and chain/beads are attached to the shoe rack (otherwise it spills on client's shoes)
    • In winter - Empty the buckets into the toilet (NOT the shower)
  6. TIDYING - Mats in front of studio:
    • Sweep the mats and the floor around front entrance (cyclically throughout your shift)
    • Wipe down the racks with Benefect and paper towel
    • In winter - sweep and mop the front entrance on days when it is messy from the snow and salt (cyclically throughout your shift)
    • In winter - empty any water from the mats into the buckets
    • In winter - wipe up any splashes (e.g. on the walls, the chairs, the baseboards)
  7. SHOVELLING - if required, shovel the snow off the front entrance to make sure the walkway is clear
  8. TIDYING - Retail area:
    • Finger space racks, wipe surfaces and straighten out merchandise
  9. TIDYING - Restock Kleenex:
    • Once on your shift check that there is a kleenex box at each of the following locations. If not, please get one from storage to replenish it:
      1. Front Desk
      2. Lounge #1 (two boxes)
      3. Barre Room
      4. Women's Changeroom
      5. Men's Changeroom

 

CLEANING:

  1. CLEANING - Change room toilets:
    • Deep clean toilets with vim and toilet brush and keep toilet paper stocked (men's washroom should always have the seat UP, women's DOWN)
  2. CLEANING - Do the laundry:
    • Wash and dry cycle towels, coloured cloths, mirror cloths, etc. and store in the baskets in the laundry room
    • Check and empty the dryer lint traps from both dryers (Before every load)
  3. CLEANING - Garbage tidiness:
    • Check back garbage storage area to make sure it looks like the image on the back door with all lids closed
  4. CLEANING - EXTRA TASKS (Daytime):
    • Monday: deep clean cafe bathroom, deep mop hallway from back door to cycle door, deep mop cycle room (move front row bikes & get between all bikes) (3 tbsp Benefect in red mop bucket, then put mop head in washing machine to clean once finished)
    • Tuesday: Clean MELT balls with Benefect after 11:00 a.m. R&R Barre.
    • Wednesday: Fill soap dispensers (1 part soap, 10 parts water)
    • Thursday: Clean MELT balls with Benefect after 11:00 a.m. R&R Barre, clean the top of teacher stands in both Barre & Cycle studio (remove all items & wipe)
    • Friday: deep clean baseboards throughout the cafe and studio with Benefact and paper towel (magic eraser when necessary)
  5. CLEANING - EXTRA TASKS (Evening / Weekend):
    • Monday: Refill all spray bottles (1 part Benefect, 4 parts water; 1 part vinegar, 4 parts water); Sweep and mop the barre room after Thrive/before yoga; set up candles for yin yoga (behind couch in lounge outside barre room); restack yoga blocks
    • Tuesday: Set up candles for candelit barre; Bring compost, recycling and garbage bins to the front of the studio according to city waste schedule.
    • Wednesday: Bring in the compost, recycling and garbage bins and place them out back; Complete supplies inventory checklist; Set up candles for yin yoga (behind couch in lounge outside barre room); restack yoga blocks
    • Thursday: Refill all spray bottles (1 part Benefect, 4 parts water; 1 part vinegar, 4 parts water); Sweep and mop the barre room after Thrive/before barre
    • Friday: Wipe bench cubbies (Benefect + paper towel), Wipe baseboards in weight room (Benefect + paper towel), Set up candles for yin yoga (behind couch in lounge outside barre room); restack yoga blocks
    • Saturday: Clean MELT balls with Benefect after 11:00 a.m. R&R Barre

EQUIPMENT:

  1. EQUIPMENT - Ensure lockers are functioning properly
    • Check each unlocked locker by opening it and turning the nob to see if it will look and unlock. If it won’t unlock, reset the locker by making sure the red lines on the back of the lock line up
  2. EQUIPMENT - Ensure dehumidifier is functioning properly:
    • Check to see if the dehumidifier by the cycle shoe racks is full (it will say P2 on top and won't be on). If it is full, pull out and empty the tray in the sink and then put it back. 
  3. EQUIPMENT - Automatic door beeping noise
    • If you hear the beeping noise near the front of the studio, pull the top of the automatic door button away from the wall

 

COMMUNICATIONS & MARKETING:

  1. COMMUNICATIONS - Record feedback from clients about the studio:

    • Come up with and provide feedback and ideas to Management using the feedback document
  3. COMMUNICATIONS - Identify and communicate maintenance needs

      3) CLOSING

      EQUIPMENT:

      1. EQUIPMENT - Re-set all the lockers:
        • Check each locker by opening it and turning the nob to see if it will look and unlock. If it won’t unlock, reset the locker by making sure the red lines on the back of the lock line up.

       

      CLEANING:

      1. CLEANING - Wipe debris off lounge #1 shoe racks with paper towel and Benefect
      2. CLEANING - Empty the buckets by shoe racks down the toilet - NOT the shower (seasonal - when snow is around)
      3. CLEANING - Vacuum whole studio (including weight room and around the mat at the boot racks BUT not the mats:
        • Only vacuum once Yoga has finished
        • Do not vacuum the wet mats under the boot rack and at the front entrance. It is killing the vacuum and making it really hard to clean. Therefore, do not vacuum any wet mats.
        • Instead, shake them out outside. And, ONLY shake out the mats under the shoe rack and the small one beside the front desk (NOT the big long ones)
      4. CLEANING - Empty vacuum canister after vacuum was emptied
      5. CLEANING - Spray all cycle shoes with Lysol once all clients have left
      6. CLEANING - Mop front area:
        • Use red mop with water and Benefact (1 tbsp/bucket) to wash concrete floors from the edge of the entry floor mats to the beginning of the hallway, including under the shoe mats and retail racks (seasonal - October 1st to May 1st).
      7. CLEANING - Garbage collection:
        • Collect all the garbage in one bag, replace the bag and take the garbage and recycling out. Reminder: paper towel can be composted. There are garbage bins at the front desk, in lounge 1, the laundry room, and in the change rooms by the sinks, in the women's bathroom stalls, and by the lockers
      8. CLEANING - Take out garbage cans and put in correct spots:
        • Usually happens Tuesday evening - If garbage collection is the next day, take out the correct garbage cans and put on the curb
      9. CLEANING - Cafe bathroom do a final check and spot clean if needed
      10. *OLD TASK - CLEANING - Clean lockers:
        • Spray and wipe down the inside and outside of all of the lockers with Benefect and paper towel
      11. *OLD TASK - CLEANING - Clean all spray bottles by wiping them down with a cloth and Benefect

       

      CLEANING ROOMS - After last class:

      1. BARRE - Wipe weight cubbies for dust bunnies
      2. BARRE - Wipe barre, ledges above barre, stall barre & window sill
      3. BARRE - Spray and wipe the green balls (Benefect and coloured cloth)
      4. BARRE - Spray & wipe mirrors and window with vinegar mixture and blue mirror cloth
      5. BARRE - Spray and wipe both sides of the mats with Benefect and a coloured cloth and hang them on the barre throughout the room
        • Do NOT stack wet mats. Leave them hanging on the barre for the next staff to take down
      6. BARRE - Yoga mats - once clean and dry, roll them up and store them in treatment room one under the massage table
      7. BARRE - Swiffer and mop the floor
        • Use the green spray mop with 1/3 vinegar and 2/3 water
        • Refil the mop solution before putting it away
      8. CYCLE - Spray entire bike with Simple Green and wipe them down
        • We are no longer using Benefect as it is destroying the bikes
        • The ratio is 1 tbsp of Simple Green and the rest water

      9. CYCLE - Spray and wipe mirrors and window with vinegar mixture and blue mirror cloth
      10. WEIGHT ROOM - Spray & wipe mirrors and window with vinegar mixture and blue mirror cloth
      11. WEIGHT ROOM  - Replenish 6 coloured towels, ensuring there is one per spray bottle in the white basket for client use during class

       

      CLOSING:

      1. CLOSING - Check that the back door is locked
      2. CLOSING - Turn off music whole studio:
        • There is a tablet in the cycle studio, barre room, and by the far wall in the weight room
      3. CLOSING - Turn off lights:
        • Do a walkthrough to make sure all lights are off (including Christmas tree) and everything is where it belongs
      4. CLOSING - Turn OFF automatic power door operator on front door only
      5. CLOSING - Arm alarm system
        • Enter passcode first - then hit “Away”
      6. CLOSING - Lock the front door and place the key in the lock box
